Using Lean Six Sigma to Improve Business Processes in Admissions and Registrar Offices

Do you have a process that could be made more elegant? Learn how to apply Lean Six Sigma fundamentals to projects and processes within Admissions and Registrar Offices to define your current state, measure and analyze with meaningful data, and improve and control future operations.

If you have heard of Lean Six Sigma, there’s a good chance it was within the manufacturing field, but did you know lean principles can be applied to improvement projects within Admissions and Registrar Offices? Lean Six Sigma is a process improvement approach that uses a collaborative team effort to improve performance by systematically removing operational waste and reducing process variation. It is a combination of Lean Management tools and Six Sigma principles, which aim to increase the value of each step within a process. A project workgroup in the Office of the Registrar at Oregon State University, composed of three certified Lean Six Sigma Green Belts, took the graduation grading process through Define, Measure, Analyze, Improve and Control (DMAIC) phases in order to provide data-driven recommendations for the future state of this process. This workshop will walk you through each phase of DMAIC, using our experience as a case study. We’ll cover a variety of topics including creating a project charter with measurable objectives, conducting a stakeholder analysis, defining the current state process via a process map, assessing risks, creating a measurement plan, collecting and analyzing data, and defining improvements for future state processes. You will learn ways to make incremental improvements to your processes, which reduces stress and anxiety that comes with organizational change and requires less work over time as you learn what adds value to each operation. Once your future state is in place, learn what you can do to ensure the team or system does not revert back to old practices. This workshop will provide you with an overview of Lean Six Sigma principles, activities to deepen your knowledge, and lessons learned from the presenters’ experience. You will not become Lean Six Sigma certified via this workshop.
